Converting and invoicing orders
Before Easy2Send arranges transport for their customers, they must first send an invoice to the customer. In the past, Easy2Send had to manually enter all billing information, such as address, prices and order number, into a TMS (Transport Management System). The payment link was then sent and they had to change the order status in the original system.
With VionA's RPA robot, all these steps are now automated. An RPA robot retrieves the order, including all necessary information, and logs into the TMS. The robot automatically fills in all data and sends the invoice. The robot then converts the order status into the original system.
This automation not only saves Easy2Send time and costs, but also ensures that customers receive a payment request in their mailbox in no time.

Convert payment status
After the customer has paid the invoice, Easy2Send receives a payment confirmation by email. Previously, Easy2Send had to keep track of their mailbox to check which customers had paid and then manually change the status to “invoice paid” in their system. Thanks to VionA's RPA robot, this process is now fully automated.
When the payment confirmation arrives, the RPA robot is automatically activated by a mail trigger. The robot retrieves the customer number from the email and searches the customer in the TMS to update the payment status.
This simple automation ensures that Easy2Send no longer has to continuously check their mailbox and that all paid orders are processed directly in the system.
